Meet Bethany
Bethany Oliver Craig started out as a special education teacher in autism classrooms. There, she realized she loved to work one-on-one with kids, so she became an RBT® in 2013, and three years later, a BCBA®.
When she moved to Georgia, Bethany realized ABA opportunities weren’t as wide as the ones in California or Indiana. She tried in-home services for about a year, but she wanted to get back into a clinic setting. So in 2019, she opened North Georgia Autism Center. It's since grown to four locations across Woodstock, Rome, Cartersville, and Calhoun, serving around 200 learners.
The challenge: Hours lost waiting and billing losing pace
Running four locations means Bethany's BCBAs are in their data collection platform constantly, working on treatment plans, progress notes, and documentation all day, every day. So when the platform didn’t work as expected, everyone’s day would take a turn for the worse.
“Very often we were seeing that our templates were taking eight hours to load. Sometimes, clinicians would spend an hour just staring at a blank screen while it attempted to load or process. My BCBAs just really did not have the bandwidth to stare at a computer.”
Billing had its own gap. Once claims went out, making sense of what came back was a challenge.
“We also wanted a more cohesive system with our billing. We could see some overwhelming numbers, but what to do with them or how to process them, who knows?”
With denials increasing across ABA and funder requirements shifting without much warning, stacking more tools meant more chances to slip.
“Some of us are still okay with piecemealing all these different software and platforms together, but most of us know that that's not ideal. Our industry is just really complex already. So having ten different places is just adding stress, and it's just not necessary when you can have a platform that offers it all.”
The solution: Bringing billing into the same view as scheduling and clinical care
North Georgia Autism Center had been with the same software provider for six years before switching to Motivity. Any change like that comes with real hesitation, especially when your whole team relies on the system every day. But Bethany was looking for a partner that would keep pace with where ABA was headed, one that paired practice management with clinical data the way her team needed it.
The shift took time and adjustments to settle. But once billing, scheduling, and clinical data lived in one place, the day-to-day started to look different. Instead of jumping between platforms to piece together what was happening with a claim, or a session, or a schedule change, Bethany could see all three from one screen.
“Having the ability to go in and check your schedule at the same time you're checking your billing at the same time you're checking in on clinical needs is a really beautiful thing.”
That shift gave Bethany a clearer read on where her business stood.
The results: Cash flow steadier than it's been since opening the center
One system, a full view of the practice
Before Bethany saw collections improving, she needed a better way to see the state of her business. Billing, scheduling, and clinical data living in one place gave her that.
“I have a lot more control and a lot more understanding of how my company is operating, a lot more opportunities for visual analysis of growth and utilization.”
Collections catching up with the work
Keeping billing in-house for seven years taught Bethany something many ABA owners learn the hard way: it works when you have the right specialized person running it, and finding that expertise isn't always easy. That's part of what made her one of the first practices to bring on Motivity's RCM services, which include a team of ABA billing experts who manage the full claims cycle.
“Motivity continuing to follow up on claims on almost a weekly basis has meant a lot to me because I don't really have the bandwidth to do that. Motivity really follows through with collecting.”
That follow-up is what gives Bethany the visibility she didn't have before.
“I have a good grasp on which funders are paying out and which ones aren't, and I'm able to see the claims being submitted weekly.”
By the time North Georgia Autism Center closed out Q1 2026, that consistency showed up directly in the numbers: their collections rate increased 65%.
“The cash flow that we've experienced over the last six to seven months has been more consistent than what we've ever had since opening in 2019.”
More room to grow
With billing keeping pace, Bethany's team has been free to do something else: grow. North Georgia Autism Center has a long waitlist and a comprehensive supervisee program in-house, with new caseloads landing on a near-constant basis and new clinicians getting their BCBA certification. If you don’t pay close attention to it, that kind of growth can overload the billing operation.
“Motivity has done a phenomenal job of realizing those caseloads and ensuring that revenue cycle management is really consistent. So I've been able to support all these new BCBA salaries and teams and increase payroll.”
The effect reaches past the balance sheet.
“My clinicians are happier, my billing is healthier, and my schedulers are enjoying the scheduling components of Motivity more and more every day.”
None of this happened overnight. Switching ABA platforms after years with one system comes with a learning curve.
“At first, there's a lot of nuance to it as you learn how to navigate it. But once you get a handle on the system, you can see that it can be user-friendly.”
That's why, a year in, Bethany has been reaching out and asking her team directly: compared to before, are you happier, and is the system working better for you?
“100% of my staff are saying they're glad we made this switch to Motivity.”
If claims are piling up faster than your team can keep track of them, we'd love to talk about what dedicated RCM support could look like for your practice.
