We've significantly enhanced Motivity's program builder with a new, customizable transition rule for even greater clinical precision. Many ABA programs require success based on a specific number of opportunities or trials, not just sessions. This is crucial for baselines, SBT, or natural environment teaching where opportunities vary.

What's New & Why It Matters:

You can now choose between 'sessions' or 'opportunities' for advanced transition rules. This allows you to:

  • Align with Clinical Methodologies: Set criteria like "3 successful consecutive opportunities" or "10 successful trials across any number of sessions."
  • Enhance Data Accuracy: Base transitions on precise trial counts, independent of session numbers.
  • Streamline NET: Reduce manual tracking for inconsistent opportunities.
  • Support Collaborative Data: Set rules for "opportunities across N distinct people."

How It Works:

Find new dropdown options in the advanced transition rules section of the program builder:

  • Performance-Based Rules: The "sessions" dropdown now includes "opportunity."
  • Completion-Only Rules: The dropdown includes "opportunity" and "opportunities across N people."

This enhancement provides greater control, flexibility, and accuracy for your ABA programs, supporting better clinical outcomes.

PM: Automated Authorization Workflow Email Alerts: Stay on Task, Every Time

Nobody likes to chase down authorization tasks, and now our system helps ensure everything gets done, on time, and by the right people. We've introduced Automated Workflow Email Alerts to keep your authorization team informed and efficient.

What's New & Why It Matters:

This feature provides real-time email notifications when key steps in your authorization workflow are assigned to team members. This ensures timely action and eliminates unnecessary delays, whether a task is moving forward or returning to a previous step in your process. This enhancement allows you to:

  • Ensure Timely Completion: Get notified immediately when an authorization task is assigned, preventing bottlenecks.
  • Improve Accountability: Clearly see who is responsible for the next step in the authorization workflow.
  • Eliminate Manual Chasing: Reduce administrative overhead by automating reminders.
  • Support Dynamic Workflows: Works seamlessly for any step, including those that loop back for revisions.

How It Works:

When a key step in your authorization workflow is assigned to a team member, they will receive a real-time email notification.

PM: Credential Expiration Reminders: Never Miss a Renewal!

Staying on top of credential renewals is crucial, and now Motivity helps ensure you never miss a deadline. We've introduced Credential Expiration Reminders to keep you proactive and compliant.

What's New & Why It Matters:

This feature provides automated email alerts at key intervals before a credential expires. This proactive notification system allows you to:

  • Ensure Timely Renewals: Receive reminders at 90, 60, and 30 days before credential expiry, giving you ample time to complete renewals.
  • Maintain Compliance: Stay compliant with regulatory requirements by avoiding lapsed credentials.
  • Reduce Administrative Burden: Automate the reminder process, freeing up your team from manual tracking.

PM: Improved Handling of Secondary Funding Sources Added Late

We've made secondary billing more flexible. Now, even if a secondary funding source is added after the primary claim has already been generated, Motivity adjusts - no need for manual corrections or voids. Funder and patient payments are reviewed and if needed secondary claims can be generated automatically based on the status of those payments.

Patient Responsibility already posted? Just revert the patient responsibility and then click Save & Submit. The claim will be sent to secondary.


PM: Smaller Enhancements and Fixes

  • Enhancement: Smarter Location Selection in Provider Enrollments
    • When initiating new enrollments, only valid, contract-active, and compliant locations are shown – removing confusion from hidden, closed, or non-contracted locations.
  • Group Telehealth Appointments Now Available
    • You can now create group appointments for patients assigned to Telehealth Clinics (POS) – not just in-person clinic locations.
  • Oldest Invoices Now Display First in Payment Processing
    • The payment screen now automatically sorts invoices by Service Date (oldest first) as per the documented SOP.
    • This update ensures you're always addressing the oldest balances first, without needing to dig for them.
  • New Download Options in Clearinghouse Timeline
    • You can now download:
      • 837 EDI files (from the top yellow line)
      • Response files (within the timeline) for better tracking and easier claim follow-up.
  • New: POS Category Column Added to Appointment Audit Report
    • A dedicated POS Category column (e.g., Center, Home, School) has been added, providing better location transparency for appointments.
  • Payment Date Column Added to AR Date of Service Report
    • The AR Date of Service Wise Billing Report now includes a Payment Date column – positioned between “Billing Due Date” and “Total Invoice Amount” – for greater payment clarity.
  • Revamped Daily Summary Email Design
    • We’ve refreshed the Daily Summary Email with a clean, modern layout for easier performance tracking – right from your inbox.
  • New Visual Indicators for “Required for Billing” Fields
    • Red bubbles now appear next to fields critical for billing – guiding users across screens like Funding Source and Contracts. Hovering displays: “Required for billing”.
  • Enhanced View Access for Enrollment Tiles
    • Users with "View" access can now open enrollment tiles, view timelines, quick info, and attached documents – without needing edit rights.
  • Reset Blocked Enrollment Status for Providers
    • Providers with a "Blocked" status can now be reset to "Not Enrolled", clearing existing data like effective dates and enabling a clean reactivation path.
  • Fix: Scheduler Optimizer Now Respects Provider & Patient Block Times
    • The optimizer now excludes blocked time slots when suggesting appointments – avoiding double bookings and improving accuracy.
  • Updated Default Settings in Contract Claim Configurations
    • To reduce setup errors, new contract configurations now default to common values like:
      • NPI Used in Claims: Patient Supervisor
      • Aggregation: Aggregate per service per day
      • Split Claims: Now defaults to "No"
  • Fix: Terminated Funding Source Can Now Be Edited/Terminated
    • You can now edit or terminate patient insurance profiles even if linked to terminated contracts – ensuring smoother updates to historical data
